Profiles & roles

Profiles determine what each user can do in the application: view calendars, manage other users’ bookings, administer the club. The subscription sets booking rights, and the profile sets access rights to features.

Understanding the default profiles

Four profiles are created with your club:

• Administrator: all management rights.
• Activity leader: partial management rights, suited to an instructor or reception desk.
• Member: the standard player profile, assigned by default.
• Visitor: identical to the Member profile, useful for distinguishing non-members.

The Administrator and Member profiles cannot be deleted. You can modify the rights for each profile and create as many as needed.

Create or adjust a profile

1. Go to Administration›Users›Access Rights›Profiles & Roles.
2. Click New Profile, or open an existing profile. The Duplicate button copies a profile that is close to what you need.
3. Select the rights in the four tabs: My Account, Booking, Messaging and Administration.
4. Click Save.

You can then assign the profile on the user record, in the Access Rights section, or in bulk via Quick Edit.

Delegate booking management

The Booking tab contains rights reserved for managers: booking for other users, booking with a club label or an annotation, booking with recurrence, and overwriting existing bookings. We do not recommend enabling these rights on standard profiles.

For the right to book for other users, you can limit the profiles and subscriptions concerned: a receptionist, for example, can book for users, but not for administrators.

Enable restrictions for managers

By default, a manager who books for a user bypasses the rules of that user’s subscription. The Enable Restrictions option (Booking tab) reapplies these rules: it becomes impossible to book for a suspended account, an expired subscription, or when a quota has been reached.

Conversely, the Ignore the subscription and its restrictions right (Administration tab) exempts the profile holder from all rules of their own subscription: only grant it to administrators.
