Sell booking credits

Charge for bookings one at a time rather than yearly: your users buy credits online, in packs with decreasing rates, and spend them for each booked time slot.


Know where to configure sales

As with subscriptions, credit sales are not configured from the product catalog, but from the subscription record.

  1. Go to AdministrationUsersAccess RightsSubscriptions. Open the relevant subscription.
  2. Open the Credits tab. Enable Activate the credit system.
  3. In the Payments & Billing section, enable online sales.
  4. Set up your Credit books.

The corresponding product is created automatically and then appears in AdministrationSettingsBillingProducts & Services. Without this step, the credit system remains usable: you then credit accounts manually from each user’s record, after payment at the club.

Online sales require an active billing account with at least one payment collection method. The purchase options offered are those of this account.

Decide what a credit represents

This is the question to settle before setting any price, because it completely changes the value of a credit. The Duration of a Booking Credit setting offers three approaches:

  • 1 credit = 1 booking: one credit is deducted per booking, regardless of its duration. This is easy to understand, but one hour and three hours cost the same.
  • 1 credit = 1 time slot: one credit per occupied time slot. A booking of three consecutive time slots costs three credits.
  • One credit is worth a defined number of minutes: credits are deducted in proportion to the booked duration.

The third option is the fairest when your time slots have uneven durations, or when you let users choose their time freely. The first two are easier for the player to understand, because they can count their remaining bookings without calculating.


Set up your packs

Under Credit books, each row links a quantity to a price. Use the Add a notebook button to add as many as needed. The user chooses one when purchasing.

The decreasing rate is not calculated for you: you decide the difference between each tier. A discount that is too small does not encourage bulk purchases, while a discount that is too large subsidizes heavy users at the expense of occasional ones.

Always keep a one-unit pack, even at full price. It lets a player try without committing, and it is often the first purchase from a future regular. The largest pack improves your cash flow as much as it improves the user’s comfort.

Sell with a prepaid account

The Prepaid account mode (1 credit = €1.00) changes the nature of the credit: it stops being a booking token and becomes a currency unit. The user’s account becomes a prepaid balance.

Enable this mode whenever the price of a booking must vary depending on the calendar, day, or time — cheaper off-peak hours, more expensive covered courts, weekend rates. Without it, all bookings cost the same number of credits.

The Display credits in currency setting naturally complements this mode: the counter is then displayed in the club’s currency rather than as a number of credits, which matches what the user actually has in mind.

Time slot rates are then configured under Booking Rates, in the same tab.


Offer payment in instalments

The Payment in installments field sets the maximum number of instalments offered when purchasing a pack. The total is divided into equal parts, the first instalment is paid immediately, and the credits are delivered as soon as this first payment is made.

Reserve this option for large packs: it only makes sense if the amount justifies spreading the payment.

This option requires partial payments to be enabled on the billing account. Without this, the choice has no effect at purchase.

Give credits

Selling is not the only use. Several settings credit an account without payment:

  • Add credits when creating the subscriber's account: each new subscriber starts with a balance, enough to try before buying.
  • Online registration can credit the account as soon as the request is approved.
  • The automatic birthday message can include a gift of credits with its wishes.
  • From a user’s record, you adjust a balance manually, with a note that remains in their history.

Share the same pricing grid across several subscriptions

If several subscriptions sell credits under strictly identical conditions — same unit price, same packs, same instalments — a single product is created and shared. Your catalog remains readable instead of filling up with duplicates.

Sharing does not expose you to any side effects: modifying the pricing grid of a subscription that shares its product automatically creates a copy linked only to that subscription. The other subscriptions keep their rates.

Disabling sales for a subscription simply detaches it from the product; the product remains available as long as another subscription uses it.


Track sales and balances

Credit purchases appear in invoices and transactions like any other order. On the user side, every movement — purchase, booking, cancellation, manual adjustment — is recorded in the history of their record.
