User groups

Sort your users into groups — tennis school, teams, volunteers, committees — so you can find them at a glance in lists, filter them, and send them targeted messages.


Understand what a group is for

A group is a free-form label, separate from the profile and the subscription. The subscription sets booking rights, and the profile sets access rights. The group does not change what the user can do. It is only used to identify and find the user.

That is what makes it flexible. The same user can belong to several groups. You can create as many groups as your organization needs, without worrying about side effects on booking rules.


Create a group

  1. Go to AdministrationUsersGroups.
  2. Click New Group, then fill in Group Name and Group Color.
  3. Choose the Visibility: Public (users can see that they are registered in this group) or Private.
  4. Click Save.

The color is not just decorative. It identifies the group at a glance in the user list and in filters. Choose clearly different shades rather than five shades of blue.

Use Private mode for internal classifications that your users do not need to know about: subscription renewal reminders, case follow-up, or a list of people to contact again.

The group list shows the number of users in each group. This is a useful check after a bulk operation. If a group that should contain thirty students shows two, the selection filter was not the one you thought it was.

Assign a group to users

There are two options, depending on how many people are concerned:

  • For one user, open their record and fill in their groups in the Access Rights section.
  • For several users, select them in AdministrationUsersUser Management, then use Quick Edit. This lets you Add or Remove a group for the entire selection in one operation.

File import can also fill in groups. Link a column from your spreadsheet to the groups field when configuring the columns.


Find groups in the application

Once your groups are set up, they become a selection criterion in several modules:

  • in the user list, the Groups filter category restricts the display to one or more groups;
  • in file export, the same filters limit the exported population;
  • for a group message, filtering by group is the fastest way to target the right recipients.

Automatically assign new registrants

Instead of sorting new accounts manually, let online registration do it. The Add new subscribers to a group option, in the Sign Ups tab of a subscription, places each new registrant in the group or groups of your choice.

A “Tennis school” subscription therefore feeds the group with the same name automatically, season after season.


Work with ADOC groups

Clubs synchronized with ADOC see groups created automatically by the federation. A banner identifies them on their record. Their name and members are managed by synchronization, and only the color can be changed.

Do not try to correct them manually. The next synchronization would overwrite your changes. If you need a different classification, create your own group alongside them.
