Booking as a manager
As a club manager, you have additional options on the booking form: book for a user, overwrite a time slot, book outside the quota, repeat a booking, or disable notifications.
Summary
Book for a user
- On the calendar, click an available time slot.
- In the Users tab, search for and select the player or players concerned. The filters and the My Favorites list help you search faster.
- Add guests from outside the club if needed by entering their identity.
- Confirm: the booking is saved under the selected users’ names.
The Partner search (open booking) option leaves the time slot open so other users can join it.
By default, bookings made for a user are not subject to the rules of their subscription plan. To apply their quotas and credits even when a manager books on their behalf, enable the Enable Restrictions option in the booking tab of the relevant profile, in Administration›Users›Access Rights›Profiles & Roles.
Use manager options
Depending on your permissions, the booking form offers several options:
- Overwrite existing bookings: replaces (cancels) any booking already present on the time slot. This is very useful for planning the season.
- Do not count towards the quota: the booking does not use the user’s quota.
- Do not count credits: no booking credit or guest credit is deducted. This is useful for offering a time slot.
- Disable Notifications: no e-mail or push notification is sent to participants.
- Custom Color: applies a specific color to the time slot on the calendar.
- Print a Receipt: offers to print a receipt after confirmation, if the feature is enabled in the display preferences.
The overwrite option permanently cancels existing bookings on the time slot. Check the targeted time slot before confirming, especially when using a repeat.
Repeat a booking over several weeks
- On the booking form, open Repetition.
- Tick the days of the week to repeat.
- Select the repeat duration, from the following week to several months.
- Confirm: the booking is placed on all occurrences.
Combine the repeat with a label to schedule a weekly class or training session for the whole season.
Organize a group class using sub-slots
To register more participants than a time slot allows, split the class period into shorter sub-slots in the calendar opening hours, then book each sub-slot for a group of users, using the repeat option to cover the season. To release a single session, for example if the instructor is absent, cancel only the relevant sub-slot: the other occurrences remain in place.
Configure your calendars
A calendar represents a court or a reservable space (court, track, room). Create one calendar per court, then define its opening hours, time slot duration, and appearance.
Require acceptance of club rules
Make booking a time slot conditional on accepting rules: safety instructions, club charter, liability commitment, and more. The text is shown to the relevant users until they accept it.
